Ask @rentroll to answer the 2am guest messages and keep every permit live
You name it, you teach it your work, and it runs on your Mac using the plan you already pay for. What comes back is done.
- @rentroll Answer the guests on WhatsApp and in the Airbnb and Booking inboxes — check the calendar and the cleaning rota before you say yes to an early check-in, and charge for the late checkout.
- @rentroll Which of our 140 units has a permit, registration or safety certificate that expires before the end of next month — and which platform delists first?
- @rentroll Message the 30 guests checking in tomorrow with the door code and the house rules, in their language, from our number.
- @rentroll On the 12th of every month, build the tourism-tax return from the stays and put it in the folder for me to file by the 15th.
Say it once. Every guest answered. Every deadline kept.
No inbox to check at 2am and no spreadsheet of renewal dates kept by hand. You say what you manage and where it must stop and ask, and it answers the guests and keeps the calendar — on your Mac, from your number.
You say what you manage
"140 units, short-let and long-let, Airbnb and Booking, WhatsApp for the guests — file nothing without asking me." The leases, the permits and the cleaning rota are already in the folder.
It checks before it answers
A guest asking to check in early gets a yes only after the calendar and the cleaning rota say so — and the late checkout is charged, not just agreed to. Every reply is a step you can read while it happens.
You get the calendar
Every unit with its permit number, its registration, its safety certificate and the tax due, sorted by what lapses first — and a line saying what it started and what it is waiting on you for.
It keeps going while nobody is on shift
The jobs that cost a fine or a delisting when they slip are the ones it runs on a schedule — on your Mac, signed in as you — and each one ends with a line saying what it did.
- Every nightThe WhatsApp, Airbnb and Booking inboxes→ every guest answered against the calendar, the ones that need a person flagged
- The 12thThe tourism-tax return, from the month's stays→ in the folder for you to file by the 15th
- 30 days outEvery permit, registration and safety certificate→ a renewal started, or a note naming what it still needs
- MondayNew handovers and idle units in the buildings you already work→ a list of owners to write to, with the letters drafted
- FridayThe guests who checked out this week→ a note from your number, asking them to book direct next time
What you get back is the return, not a reminder about it
The PMS keeps the ledger and sends you a notification. Universe builds the return from the stays, drafts the letters from the leases, and puts each one in the folder ready for your name.
- .xlsx
The compliance calendar
Every unit, its permit and registration numbers, its safety certificates and the tax due — with a column marking anything that lapses inside 60 days and which platform would delist it first.
- .docx
The statements and the letters
The owner statement for the month, the deposit-return letters inside the statutory window, the renewal at the rent in the schedule — each a .docx in the folder, none of them sent.
- .key
The owner deck
For the owner deciding whether to hand you the unit: the building, the occupancy from your own stays, what a unit like theirs earned last quarter — built from your numbers, not a template.
- live
A guest page per unit
The door code, the house rules, the Wi-Fi and the things a guest can buy — on a URL you send from WhatsApp, in the guest's language.
It works where your units already are
A chat window can only hand you text. This runs on your Mac, signed into the platforms, the regulator's portal and your WhatsApp as you — so it can answer the guest and build the return.
Your browser. Airbnb, Booking, Vrbo, the regulator's portal and the deposit scheme, in the Chrome you are already signed into. It reads the booking and the permit where they live.
Your files. The leases, the permits, the cleaning rota and the owner statements in one folder — read and written there. Nothing gets uploaded anywhere.
Your mail, WhatsApp and calendar. The owner statement goes from your address and the guest reply from your number; every renewal, filing and deposit window is on your calendar the day it is known.
Your team. A room for the ops team where the agent is in the conversation — the cleaner can ask it which units turn over tomorrow from their own phone.
A second Mac. The desktop in the office answers the 2am guest while your laptop is shut. Your hardware, your accounts, nothing leaving either.
Your own plan. It runs on the Claude or ChatGPT subscription you already pay for. That bill stays yours, and we don't mark it up.
